How to Cancel an Order in Shopify (and Refund or Restock Correctly)

Customers change their minds, payments look suspicious, or stock runs out. Whatever the reason, cancelling an order in Shopify is simple — but the options you choose affect your inventory, your accounts and your customer's experience. Here is how to do it properly.

Cancel vs refund vs archive — what is the difference?

  • Cancel: stops the order. You can refund the payment and restock items as part of cancelling.
  • Refund: returns money for some or all items, but the order itself remains (useful for partial problems).
  • Archive: simply hides a completed order from your open list. It does not refund anything.

How to cancel an unfulfilled order

  1. Go to Orders and open the order.
  2. Click More actions and choose Cancel order.
  3. Choose the refund option — usually refunding to the original payment method.
  4. Tick Restock items if the products are back on your shelf, so inventory stays accurate.
  5. Select a reason (customer changed mind, fraud, inventory, declined payment or other). This helps your reports.
  6. Decide whether to send a notification to the customer, then confirm.

Tip: Always send the cancellation notification unless you have already spoken to the customer. A clear email prevents "where is my order?" messages and chargebacks.

What if the order is already fulfilled?

Shopify does not let you cancel orders that are fully fulfilled in the same way. Instead, you handle it as a return and refund:

  1. If the parcel has not shipped yet, cancel the fulfilment first (for example, void the shipping label if your carrier allows it).
  2. If the parcel is already with the customer or the courier, create a return, then refund once the items come back.
  3. Restock the items only when they are physically back and sellable.

Cash on delivery (COD) orders

For COD orders no online payment was captured, so there is nothing to refund to a card. Cancel the order, restock items and inform your courier partner so the shipment is not dispatched or is returned.

Cancelling for suspected fraud

If Shopify's fraud analysis flags an order as high risk, review the details: mismatched billing and shipping countries, many failed card attempts, or an unusual email address. If you decide to cancel, choose Fraudulent order as the reason and refund the payment. Do not ship first and hope for the best.

Good practice checklist

  • Write a clear cancellation and refund policy and link it in your footer.
  • Record the reason for every cancellation so you can spot patterns (e.g. many "inventory" cancellations means your stock syncing needs work).
  • Respond to the customer personally for anything unusual — it builds trust and repeat business.

Writing a helpful cancellation message

Shopify's default notification is functional, but a short personal note makes a better impression, especially when the cancellation is on your side. Explain what happened, confirm the refund, and offer an alternative if possible.

Unfortunately the blue linen shirt (size M) you ordered sold out before we could pack it - we are really sorry.
We have cancelled the order and refunded ₹1,299 to your original payment method. Your bank may take a few days to show it.

Preventing cancellations in the first place

  • Keep inventory accurate, especially if you also sell in a physical shop or on marketplaces.
  • Show clear delivery times so customers do not cancel because a date surprised them.
  • Confirm COD orders by phone or WhatsApp before dispatch if returns-to-origin are a problem for you.
  • Make sizing information easy to find to reduce "wrong size" cancellations.

Reading your cancellation reports

Every few weeks, review cancelled orders and their reasons. If most are "inventory", improve stock syncing. If many are "customer changed mind", look at delivery speed and product page clarity. If fraud is frequent, tighten your checkout and review settings.

Can I undo a cancelled order in Shopify?

No. Once cancelled, an order cannot be reopened. Create a new order (for example with a draft order) if the customer still wants the products.
